Position Title
(X2) Receiving Clerks - Operations Department - Gauteng

Diplomat South Africa is looking to fill the roles of (X2) Receiving Clerks, based in Meadowdale, Gauteng, reporting to the Inbound Supervisor.

Key Responsibilities
This role needs to receive, inspect and record shipments with raw material or products. This role is responsible for unloading packages and checking their contents to ensure they match the orders.

Critical to this role is the support it provides to Inbound team and Operations:

  • Check and load Diplomat and Dakar orders at offsite WHS.
  • Inform superiors or the demand team in the event of trucks arriving not scheduled for that day or missing scheduled times.
  • Inspect trucks as stipulated on the vehicle inspection sheet.
  • Count pallets on the truck and check against the Chep pallet slip.
  • Check for broken pallets and note them on the pallet slip. Ensure all damaged pallets must be returned to supplier.
  • Check supplier's P/O versus Inbound.
  • Check stock for damages, expiry dates, batches, quantities and recorded on a blind count sheet to ensure that only good stock and correct quantities are accepted into the warehouse. Check the blind count against the supplier's invoice for quantities.
  • All invoices must be stamped and signed by the clerk and the driver upon the completion of the inbound process. Ensure discrepancies are noted on the invoice and the quantities are changed.
  • Ensure stock is labelled correctly, double check batches expiry dates and quantities.
  • Verify HU and stock by only using RF scanner.
  • Inbounds must be posted after scanning and print GRV's.
  • Ensure that all the paperwork is attached with the invoice including the vehicle inspection sheet.
  • Inbound area must be tidy without papers left on the tables by the end of each shift.
  • Ensuring that all scanners are returned and batteries charged. All machineries must be in the battery bay and be left on charge.
  • Compliance with Good Warehouse Practices and quality management.
  • Adhere to company's Health and Safety rules, laws and regulations.
  • Submit the invoices to finance and copies of the invoice filed.
  • Record returns on the returns book and submit the invoices.
  • Take responsibility for self-development through self-study, identification of learning opportunities.


Position Requirements

  • Completed Matric or equivalent accredited by SAQA.
  • Tertiary qualification would be an added advantage.
  • Minimum of 3 years experience in similar position preferably from the FMCG industry.
  • Basic computer skills (Word, Excel, PowerPoint, etc.).
  • Knowledge of SAP system.
  • Strong attention to detail skills.
Meadowdale
Distribution Controller - Operations Department - Gauteng
DISTRIBUTION CONTROLLER - OPERATIONS DEPARTMENT- GAUTENG

Diplomat South Africa is recruiting for the role of Distribution Controller in the Operations Division based in Meadowdale, Gauteng. The position will report to the Depot Manager.

Key Responsibilities
  • The purpose of the role is to manage a team of Drivers and Van Assistants, to ensure compliance with good warehouse practices and health and safety regulations.
  • To manage staff hours and routes, to ensure effective execution of deliveries to customers and to ensure effective People Management.
  • Ensure the delivery staff conducts inspections at point of delivery to ensure goods are not damaged and complies to prescribed standards and request feedback.
  • Intervene to resolve delivery disputes with customers to prevent return of goods.
  • Provide feedback to driver on customer related incidents, queries, concerns etc.
  • Ensure that all Stannic cards/ Toll Cards are issued with approval slips from Distribution and effective controls on E-Fuel for all vehicles.
  • Manage and influence Driver return times from the trade by means of daily communications.
  • Ensure Drivers have completed daily routes and feedback accordingly.
  • Ensure effective despatching of vehicles on a daily basis and influence posi-tive Truck Exit Times daily.
  • Allocate work tasks to crew and Drivers every morning and ensuring correct documentation accompanies the vehicles.
  • Ensure that all Drivers are de-briefed daily and all POD's are received back and accounted for.
  • Ensure that all time sheets are completed and submitted on time for analy-sis.
  • Ensure that all drivers out on country are booked for accommodation and managed within the legal operating times.
  • Report all accidents and incidents to Depot Manager and H&S Manager.
  • Ensure that vehicles are rotated to achieve balanced excess KM's.
  • Ensure that vehicle inspections are carried out on a daily basis and main-tain good hygiene & image regarding vehicles.
  • Fill in all accident claims and insurance docs for vehicles and stock claims.
  • Manage all uplifts and ensure that the process is adhered to by the Drivers at all times.
  • Prioritize and assign vehicles to ensure that the resources are used effec-tively and that distribution schedules and targets are met.
  • Manage yard space and vehicle parking to allow for effective despatching in the mornings.
  • Control time and attendance in line with company process and the man-agement of leave records and roster.
  • Ensure all over time is measured and controlled.
  • Ensure that all Drivers comply with the Road Traffic Act in terms of PDP's, valid driver's licence and all traffic offences.
  • Daily Truck Exit Times reported on daily basis and report any deviations.
  • OPSI management and report any deviations on route and speeding viola-tions.
  • General Operations reports to be completed weekly & monthly (excess KMs, exit reports, shortages & damages, fleet management).
  • Ensure completion of new customer workflow.
  • Monitor daily driver activities through OPSI to ensure effective deliveries to customers.
  • Compliance with Good Warehouse Practices and quality management.
  • Adhere to company's Health and Safety rules, laws and regulations.
  • Take responsibility for self-development through self-study, identification of learning opportunities.
Position Requirements
  • Completed Matric or equivalent (accredited by SAQA).

  • 3 - 5 years' experience in a similar role from the FMCG industry.
  • Strong administration and reporting skills.

SAP Systems Operator - Operations Department - Western Cape

Diplomat South Africa is looking for dynamic, energetic individuals to fill the role of a SAP Systems Operator based in Western Cape. This position will report to the Depot Manager.

Key Responsibilities

  • Conduct activities related to SAP WMS support in a cost effective manner
  • Evaluate the cost impact of requests before executing same.
  • Ensure that all warehouse SAP transactions executed by users are authorised
  • Address and resolve day to day user issues with respect to SAP WMS module.
  • Ensure maintenance and accuracy of master data with respect to storage level, locations, palette stacking etc .
  • Make changes to data based on weekly and monthly audits.
  • Conduct trouble shooting of system problems and do first level problem solving.
  • Validate the warehouse bins to ensure correct product is loaded.
  • Manage all the breaches in the system.
  • Ensure that SOP's related to the system are adhered to at all times.
  • Conduct audits to make sure stock is in the right place.
  • Apply restrictions to stock before it is dispatched if the quality is not compliant.
  • Escalate system errors that could not be solved internally to IT.

Diplomat South Africa is recruiting for the roles of (X2) Truck Drivers - Code 14 in the Operations Department based in Johannesburg, Gauteng. The position will report to the Distribution Controller.

Key Responsibilities
To ensure that the right order is delivered to the correct customer within the required delivery time frame.
Also ensuring a high level of customer service, as well as the completion of all administration to ensure route closure.

  • Execute driver responsibilities cost effectively.
  • Contribute to the cost savings targets of the company through efficient and
  • safe driving.

Returns Clerk - Operations Department - Johannesburg (GP)

Diplomat South Africa is recruiting for the role of Returns Clerk in the Operations Department based in Gauteng, Meadowdale. The position will report to the Returns Manager.

Key Responsibilities

  • Communicate with Customer Care, Finance, Sales Reps and Drivers to re-solve any issues regarding deliveries.
  • Ensure that all claims, invoices and uplifts are captured and credited daily.
  • Ensure that high value uplifts/returns are reported to management before crediting.
  • Do investigations on claim queries when required by management.
  • Ensure that all returned goods meet the set standard and quality by liaising with the Responsible Pharmacist.
  • Ensure that returned stock is handed over to the Inbound Manager for fur-ther processing.
  • Capture returned stock on SAP.
  • Returns Clerk will contact the Rep/ASM/Customer Care to inform them of any delays in deliveries, who in turn will inform the customer.
  • Manage and ensure compliance to standard operating procedures.

  • Reconcile POD's, collection of documentation and re-deliveries to trip sheet.

  • Verify CHEP pallet slip.
  • Note alterations and/or evidence that full order was not received.
  • Issue a clearance voucher to the driver/crew captain, which indicates that the driver/crew captain is eligible for next delivery.
  • Any returns/collections are handed over for checking and processing credit.
  • Any collections not executed (upliftments) must be brought to the Returns Manager's attention.
  • Understand SAP Systems role and functionality and provide backup when necessary.
